Summary

Responsible for full scopes of Account Payables (AP), i.e., Vendor Bills and Payments, Payment Application & Reconciliation, AP Ageing/ Report in an efficient and timely manner to ensure compliance with the relevant policies, procedures, and financial controls. This role report to the Tower Lead – AP based in Malaysia, with a dotted reporting line to the Head of Finance for Thailand. This role will also be expected to provide insights and analytical support for key stakeholders.

Responsibilities:

A. Vendor Bills and Payments

  • Prepare and process vendor invoices and payment lists, including both scheduled and urgent payments
  • Monitor payment progress with Treasury and obtain payment advice for submission and tracking
  • Handle withholding tax (WHT) matters, including accurate deduction, filing, and timely submission
  • Maintain and review vendor records in NetSuite, ensuring compliance with DoA and aligning payments with proper cycles for working capital management

B. Payment Application & Reconciliation

  • Application of outgoing payments to the correct vendor accounts.
  • Ensure all payments are accounted for and properly posted.
  • Perform account payable reconciliation, investigate, and address any discrepancies.

C. AP Ageing/ Report

  • Preparation of monthly AP Ageing/ Report timely.
  • Analyze AP balances and propose solutions.
  • Proactive approach to addressing overdue accounts by analyzing and understanding the rational of overdue bills. Forecast and schedule payment date or escalation to respective department for aged accounts.

D. Compliance

  • Ensuring compliance with policies and procedures
  • Ensure Internal Control Framework compliance across activities. Adhere to segregation of duties defined by management.
  • Support GL Team on annual audits, tax return and other statutory bodies to ensure timeline submission and full compliance with regulatory requirements.
  • Prepare and submit VAT (Input VAT: PP30 / PP36) and Withholding Tax filings (PND3 / PND53 / PND54) via RD e-Filing.
  • Ensure accurate WHT deductions, timely payments, and proper issuance of withholding tax certificates.

E. Ad hoc

  • Maintain good relationships with stakeholders, i.e., Cross-department collaboration, organize stand-up meetings to provide regular progress updates to the stakeholders.
  • To involve and assist in duties assigned from time to time by the Management.
  • To involve and support in annual audit and tax filing.
  • To involve and assist in E-invoicing filing.

Requirements:

  • Bachelor's degree in accounting/finance or a Professional Qualification (CPA/ CPD).
  • Minimum 5-6 years of relevant working experience.
  • Preferred audit background.
  • Proven experience in financial analysis, budgeting, or a related role.
  • Able to adapt in MNC/ Crossed Border Management environment.
  • Financial focus and experience, sensitive in numbers.
  • Proficient in Microsoft Office (Excel, Word & PowerPoint). Experience with Oracle NetSuite will be advantageous.
  • Familiar with relevant accounting standards (US GAAP, TFRS, IFRS).
  • Comfortable working in a fast-paced environment.
  • Excellent verbal and written communication skills in English.
  • Good organization, analytical skills and able to work independently with minimal supervision.
  • Committed with a strong sense of responsibility and able to work within deadlines.
