Job Description
Job Summary
Lead and manage office operations, facilities, and administrative functions to ensure compliance, efficiency, and a safe work environment. Coordinate corporate events, hospitality, and travel logistics while fostering strong external relations and leading a high-performing administrative team.
Responsibilities
- Oversee daily administrative operations to maintain a safe, clean, efficient, and compliant office environment.
- Develop, optimize, and enforce local administrative policies, Standard Operating Procedures (SOPs), and emergency contingency plans.
- Manage procurement, inventory, maintenance, and disposal of office supplies, fixed assets, and IT equipment while controlling administrative budgets.
- Coordinate tenancy management, office renovations, property management liaisons, utilities, network infrastructure, and vendor relationships including cleaning, security, and courier services.
- Plan and execute end-to-end events for internal/external meetings, client visits, and company activities, managing venue setup, AV equipment, catering, and transport/accommodation logistics.
- Provide professional hospitality and reception services for key clients, government officials, and executive leadership visits.
- Manage corporate travel logistics including visa guidance, flight and hotel bookings, and itinerary planning.
- Ensure corporate compliance with local regulatory bodies such as ACRA, MOM, URA, and building management protocols.
- Manage annual renewals, filings, and updates for business licenses and statutory permits.
- Maintain positive working relationships with landlords, government authorities, industry bodies, and local service providers.
- Coordinate site emergency response efforts including fire drills and medical assistance, and report incidents as required.
- Lead, train, and manage the administrative team to cultivate a service-oriented and high-performing workplace culture.
- Collaborate with HR to implement employee engagement initiatives, welfare schemes, and festive celebrations.
- Serve as the primary administrative liaison in Singapore, coordinating with regional teams and HQ to align and execute group-level policies locally.
Required competencies and certifications
- Proficiency in English and Mandarin (spoken and written) to handle business communications, official documentation, and liaise with Mandarin-speaking corporate stakeholders and global HQ representatives.
Preferred competencies and qualifications
- Bachelor's Degree in Business Administration, Hospitality Management, or a related discipline.
- Minimum 5 years of experience in administrative management, including at least 2 years in a Singapore office management role.
- Experience in multinational corporations (MNCs) or Chinese enterprises expanding overseas.
- Deep familiarity with Singapore's local business environment, labor guidelines, and workplace compliance standards.
- Proven track record in corporate hospitality, executive reception, and large-scale event organization.
- Proficiency in office automation tools, budget planning, and administrative data analysis.
- Ability to multi-task effectively, work under pressure, and proactively solve problems.
- High integrity, discretion, and strict commitment to confidentiality.
