Event Marketing Specialist
Job Description
Role Objective
Plan, coordinate, execute, and evaluate online and offline events that strengthen DPrime brand presence, engage target audiences, generate qualified leads, and support the company's business objectives while ensuring compliance with brand guidelines and applicable financial industry requirements.
Key Responsibilities
1. Event Planning and Execution
- Plan and execute local and international events, including expos, seminars, webinars, workshops, networking events, client engagement activities, and corporate functions.
- Manage the complete event lifecycle, from initial concept development and budgeting to execution, evaluation, and post-event reporting.
- Develop detailed event plans, timelines, checklists, run sheets, and contingency plans.
- Coordinate event logistics, including venues, booths, equipment, catering, transportation, accommodation, registration systems, promotional materials, and on-site arrangements.
- Manage event setup, registration, attendee experience, speaker coordination, and on-site operations.
- Ensure that events are delivered professionally, on schedule, and within the approved budget.
- Be available to support events outside normal working hours, including evenings and weekends, when required.
2. Internal and External Event Coordination
- Work closely with the Sales, Business Development, and Marketing teams to coordinate event requirements for clients, Partners, and Introducing Brokers (IBs).
- Support the organization of joint events and activities initiated by internal business teams.
- Coordinate with event organizers, venues, speakers, media representatives, vendors, and other external service providers.
- Serve as the main operational contact for event-related arrangements, schedules, materials, and logistics.
- Support the Sales or Business Development teams in preparing event information and materials for Partners and IBs when required.
- Maintain a database of venues, suppliers, event organizers, speakers, and other event-related contacts.
- Follow up on event deliverables and ensure that all involved parties receive accurate and timely information.
3. Cross-Functional and Global Collaboration
- Work closely with the Thailand Sales and Marketing teams to identify event opportunities and define event objectives, target audiences, and expected outcomes.
- Collaborate with regional and global teams to plan cross-market campaigns and international events.
- Coordinate with Graphic Designers, Content Creators, Digital Marketing, Compliance, and other internal teams to develop event materials.
- Align local events with DPrime global branding, campaign direction, and business priorities.
- Communicate event requirements, timelines, responsibilities, and updates clearly to all relevant stakeholders.
- Share local market insights and participant feedback with regional and global teams.
4. Event Marketing and Attendee Engagement
- Develop event communication plans to promote attendance and engagement before, during, and after each event.
- Coordinate invitations, registration pages, email communications, social media promotions, event announcements, and reminder messages.
- Work with the Marketing team to create event materials, including booth designs, banners, presentations, brochures, promotional items, and digital content.
- Create engaging attendee experiences that strengthen DPrime relationship with clients, prospects, and business communities.
- Support lead-capture activities and ensure attendee information is collected appropriately and transferred to the relevant internal teams for follow-up.
- Coordinate post-event communications, including thank-you messages, surveys, event highlights, and follow-up campaigns.
5. Vendor and Budget Management
- Source, evaluate, negotiate with, and manage event vendors, venues, agencies, production companies, and other suppliers.
- Prepare event budgets and obtain internal approval before confirming expenses or commitments.
- Monitor event expenses and ensure spending remains within the approved budget.
- Verify quotations, invoices, contracts, and supporting documents before submitting them for payment.
- Maintain accurate records of event-related expenses, supplier information, and contractual obligations.
- Evaluate vendor performance and maintain relationships with reliable service providers.
6. Performance Monitoring and Reporting
- Define appropriate event KPIs, such as registrations, attendance rates, audience engagement, qualified leads, cost per lead, and return on investment.
- Track event performance and prepare post-event reports with results, feedback, key observations, and recommendations.
- Work with the Sales and Marketing teams to monitor lead follow-up and assess the business impact of each event.
- Collect feedback from participants and internal stakeholders to improve future activities.
- Conduct competitor and market research to identify relevant expos, conferences, seminars, webinars, and other event opportunities.
- Recommend improvements based on event data, participant feedback, industry trends, and business results.
7. Brand and Regulatory Compliance
- Ensure that all event communications and materials comply with DPrime brand guidelines and internal approval procedures.
- Coordinate with the Compliance team before publishing or distributing financial promotions, trading-related claims, campaign terms, or regulated materials.
- Ensure that required risk warnings, disclaimers, terms and conditions, and eligibility requirements are displayed where applicable.
- Ensure that speakers and external representatives use approved materials and avoid misleading or unauthorized statements.
- Maintain appropriate records of approved materials, participant information, event documentation, and consent forms where required.
Requirements
- Bachelor's degree in Marketing, Event Management, Communications, Public Relations, Business Administration, or a related field.
- Minimum 2–4 years of experience in Event Management, Marketing, Project Coordination, or a related role.
- Proven experience organizing expos, seminars, webinars, conferences, corporate events, or marketing activities.
- Strong project management, organization, coordination, and multitasking skills.
- Experience managing external vendors, venues, agencies, and event budgets.
- Strong interpersonal and stakeholder-coordination skills.
- Ability to work independently, solve problems under pressure, and manage last-minute changes.
- Strong attention to detail and the ability to manage multiple events and deadlines simultaneously.
- Good presentation, negotiation, and communication skills.
- Fluency in Thai and a good command of written and spoken English.
- Proficiency in Microsoft Office or Google Workspace, particularly PowerPoint and Excel.
- Willingness and ability to travel domestically and internationally.
- Flexibility to work outside regular business hours when required for events.
