Location: Bang Bo, Samut Prakan, Thailand

Position OverviewThe GA & Administration Supervisor is responsible for overseeing general administration, facility operations, employee welfare programs, corporate compliance activities, executive support, and office management functions. This position plays a critical role in ensuring smooth daily operations across office and factory facilities while maintaining compliance with regulatory and company standards.
Key ResponsibilitiesOffice & Facility Management
Oversee office buildings, factory facilities, and common areas to maintain cleanliness, safety, and operational efficiency.
Supervise utilities and facility systems including electricity, water supply, HVAC systems, access control, security systems, and maintenance activities.
Ensure compliance with cleanroom access and cleanliness standards in accordance with ISO 13485 requirements.
Coordinate workplace safety, health, and environmental programs.
Manage indirect procurement activities for non-production goods and services.
Process purchase orders based on approved requirements and quotations.
Coordinate goods receipt and invoice verification processes with requesting departments.
Maintain company asset records, conduct periodic asset counts, and coordinate maintenance schedules.
Maintain corporate legal and regulatory documents, licenses, registrations, and contracts.
Coordinate contract reviews with legal advisors and headquarters stakeholders.
Manage vendor agreements, service contracts, facility leases, and NDAs.
Ensure compliance with PDPA and internal data privacy regulations.
Oversee employee welfare programs including transportation, uniforms, cafeteria services, and employee engagement activities.
Coordinate health insurance, accident insurance, social security registrations, and annual medical checkups.
Support employee-related administrative services and general workplace programs.
Provide administrative and secretarial support to senior executives.
Coordinate executive schedules, meetings, agendas, and minutes.
Manage domestic and international travel arrangements.
Support expatriate administration, including housing and transportation coordination.
Prepare administrative and operational reports for management and regional headquarters.
Coordinate company events, seminars, CSR activities, and employee engagement initiatives.
Liaise with government authorities, service providers, and external stakeholders.
Assist in preparing SOPs, work instructions, and compliance documentation.
Support quality management initiatives and ISO 13485 compliance activities.
Promote adherence to EHS requirements within the workplace.
- Bachelor's degree in a related field.
- 3-5 years of experience in General Affairs, Administration, Facilities Management, or Corporate Services within a manufacturing or industrial environment.
- Experience in medical device, pharmaceutical, cleanroom, or highly regulated manufacturing environments is highly preferred.
- Strong knowledge of facility management, office administration, and corporate support functions.
- Familiarity with indirect procurement, vendor management, asset control, and contract administration.
- Working knowledge of Thai Labor Law, PDPA, and EHS regulations.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
- Experience using ERP systems and/or Document Management Systems (DMS) is an advantage.
- Good command of English, both written and spoken. (Japanese language skills would be an advantage.)
- Excellent problem-solving skills with strong attention to detail.
- Able to coordinate effectively with internal stakeholders, external vendors, and government authorities.
- Proactive, service-minded, and capable of working independently in a fast-paced environment.
