Scope and General Purpose of Job:

To assist in the smooth and efficient running of the Information Systems Department

Responsible to:

Area Director of Finance

Responsibilities:

Operational

• Provide technical assistance, advice to hotel management so as to minimise overhead expenses and maximise productivity in all areas

• Assist authorised users in relation to operation of the hotel's I.S. system hardware, various modules and supporting personal computers

• Coordinate timely repair and return to service any faulty systems or items of equipment

• Establish and implement procedures to ensure backup of data in any I.S. system

• Rebuild data corrupted by either hardware or software faults

• Coordinate the timely handling of any software fault reports or enhancement requests

• Set up emergency procedures to continue the operation of the hotel in the event of system failure

• Provide manuals on the sue of ant I.S systems and incorporate those manuals into the relevant operating procedures of the hotel.

• Establish necessary security measures to prevent unauthorised access to the I.S. systems

• Provide technical assistance to internal and external audit staff

• Work with Sales and Marketing Department and Operational Departments to set up and maintain clean relevant databases for management purpose

Administration

• Assists with the development and maintenance of a detailed Department Operations Manual that reflects policies & procedures, work processes and standards of performance within the Division. Ensures annual review to accurately reflect any changes.

• Assists with the preparation of the annual Finance Business Plan ensuring Divisional Objectives fully address business objectives of the hotel and needs of employees.

• Assists with the preparation and regular update of the Finance Departmental Budget, in close cooperation with the Director of Finance ensuring targets are met and costs are effectively controlled.

• Ensure the availability of any stationery or consumables required by any I.S. systems

• Ensure that all licenses are complete and up to date

• Keep the Software's and hardware used at the property up to supported level as instructed by the Area Director of I.S.

People Management

• Recruit, select and develop I.S employees to work following the operational, financial, administrative philosophies willing to become multi skilled and perform multi tasks.

• Through hands on management, supervise closely all I.S employees in the performance of their duties in accordance with policies & procedures and applicable laws

• Delegate appropriately, duties and responsibilities to equipped and resourced employees, nurturing and developing them whilst ensuring standards of operation and safety are maintained

• Instil the Training philosophies of the company and work closely with the Training Manager developing Departmental Trainers, ensuring that all Managers and Supervisors take an active role in the training and development of employees

• Develop and assist with training activities focused on improving skills and knowledge

• Ensure employees have a complete understanding of rules and regulations, and that behaviour complies

• Monitor employee morale and provide mechanisms for performance feedback and development

• Conduct annual Performance Appraisals providing honest and appropriate feedback

• Effectively communicate guiding principles and core values to all levels of employees

General

• Attends and contributes to all Meetings as required

• Ensure all employees provide a courteous and professional service at all times

• Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up.

• Is knowledgeable in statutory legislation in employee and industrial relations, understanding and strictly adhering to rules & regulations established in the Employee handbook and the hotels policies concerning fire, hygiene and health & safety

• Take an active involvement in the Welfare, Safety, Development and wellbeing of employees providing advice, counselling and truthful, diplomatic feedback

• Ensure high standards of personal presentation & grooming

• Maintains positive guest and colleague interactions with good working relationships.

• Exercise responsible management and behaviour at all times and positively representing the hotel management team and Hyatt International

• Respond to requests to undertake any reasonable tasks and secondary duties and to changes as dictated by the hotel, industry and company

Education and Experience

• Holds a degree in Information Systems and/or Computer Programming

• Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

• Comprehensive knowledge of business needs, financial reporting and productivity requirements

• Excellent computer skills, particularly in the use of MS Office, MS Windows, E-Mail, MS Excel, MS Power Point, MS Access and all Hotel Property management systems

• Fluent English – written and spoken, multi-lingual desirable

• Minimum two to four years work experience as Assistant Information Systems Manager in a hotel or in a similar large organisation or firm.

• Preferable prerequisite is experience in the Hotel and Travel industry
