M04 - Project Manager

Key Responsibilities

Project Management and Coordination

• Manage end-to-end project delivery from requirements and proof-of-concept through deployment, operational transition and post-implementation support.
• Coordinate business, technical, infrastructure and security stakeholders to ensure successful delivery of digital and AI-enabled initiatives.
• Develop and maintain project plans, schedules and resource allocations for ongoing maintenance activities.
• Ensure timely delivery of maintenance services and system enhancements in accordance with agreed timelines and SLAs.

Vendor Team Management

• Lead and manage the vendor's maintenance team, ensuring appropriate staffing and skill sets.
• Coordinate with stakeholders to align vendor activities with priorities and expectations.
• Facilitate knowledge transfer within the vendor team to ensure continuity of support.

Stakeholder Management

• Serve as the primary point of contact between the vendor team and SFA stakeholders.
• Regularly communicate project status, risks and issues to SFA management.
• Manage stakeholder expectations regarding system performance, maintenance timelines and enhancement deliverables.

System Support and Enhancement

• Oversee ongoing support for commissioned application systems.
• Coordinate the planning and execution of system enhancements as requested.
• Ensure maintenance and enhancement activities align with business requirements and technical standards.

Quality Assurance and Performance Management

• Implement and maintain quality control processes for maintenance and enhancement activities.
• Monitor and report on key performance indicators (KPIs) as defined in the maintenance contract.
• Conduct regular service reviews to assess vendor performance and service delivery.

AI Integration Strategy & Systems

• Lead the identification and implementation of AI integration opportunities across existing and new systems.
• Oversee the complete development lifecycle of AI-enhanced solutions, including proof-of-concept, implementation and operational transition.
• Manage maintenance transitions for AI-integrated systems.
• Collaborate with technical teams and vendors to ensure effective execution of AI projects.
• Drive system improvements through AI capability integration.

Risk and Issue Management

• Proactively identify and mitigate risks related to system maintenance and enhancements.
• Manage the resolution of critical system issues while minimizing disruption to operations.
• Maintain a comprehensive log of issues, resolutions and preventive measures implemented.

Compliance and Security

• Ensure maintenance activities comply with organizational policies, government regulations and industry standards.
• Coordinate with IT security teams on security audits and the timely implementation of security updates.

Financial Management

• Manage the project maintenance budget and ensure cost-effective delivery of services.
• Provide transparent reporting on resource utilization and costs incurred.
• Support forecasting of future maintenance costs and planning for system enhancements.
• Documentation and Reporting
• Oversee the maintenance of up-to-date system documentation, including user manuals and technical specifications.
• Prepare and present regular status reports covering progress, issues, risks and upcoming activities.

Key Requirements

Must-Have

• 4-6 years of project management experience.
• Project management certification such as PMP, PRINCE2 or equivalent.
• Experience managing vendor teams.
• Excellent communication and stakeholder management skills.
• Knowledge of IT security and compliance requirements.

Good-to-Have

• Experience with AI implementation projects.
• Experience in government sector projects.
• Knowledge of data protection regulations.
• Experience supporting and maintaining internal-facing systems.
• Background in system integration projects.
• Understanding of AI technologies and their practical applications.
• Experience in digital transformation projects.
