We are seeking a highly motivated, empathetic, and detail-oriented Operation cum Customer Service Executive to join our dynamic logistics team in Singapore. In this dual-function role, you will bridge customer management and operational execution, serving as a primary point of contact for clients while ensuring the smooth end-to-end processing of air, sea, and cross-trade shipments. You will work closely with overseas agents, carriers, and local vendors to deliver service excellence from quotation and booking to delivery and issue resolution.

Job Responsibilities:

1. Customer Service & Account Management

  • Serve as the primary point of contact for shippers, consignees, overseas agents, and internal stakeholders via phone, email, and messaging platforms.
  • Provide accurate and timely updates on shipment tracking, transit times, rates, and service options (FCL/LCL, air express, and cross-trade).
  • Handle customer inquiries, prepare competitive quotations, issue service confirmations, and follow up proactively.
  • Log, track, and resolve customer service issues and escalations support root-cause analysis for continuous improvement.

2. Operational Execution & Documentation

  • Handle end-to-end Airfreight and Sea Freight operations, including booking setup, B/L (Bill of Lading) issuance, and job entry into the in-house system.
  • Prepare export documentation and apply for all types of customs inward and outward permits.
  • Issue customer tax invoices and verify vendor billings to maintain accurate financial record-keeping.
  • Manage cross-trade shipment activities associated with the Singapore hub.

3. Vendor & Partner Coordination

  • Liaise and negotiate with external vendors (carriers, truckers, and customs brokers) to coordinate smooth cargo movements and ensure competitive service levels.
  • Proactively monitor shipments and collaborate with vendors/operations to prevent or manage service disruptions and delays.
  • Support network and agent inquiries by providing timely operational quotes and status reports.

Job Requirements

  • Education: Minimum O Level / Diploma / Advanced / Higher / Graduate Diploma in Business, Maritime, Logistics, Supply Chain, or a related field.
  • Language Proficiency: Fluent in both Mandarin and English (written & spoken). Essential for communicating effectively with Chinese-speaking clients, overseas counterparts, and cross-border partners.
  • Experience: Minimum 1-2 years of experience in freight forwarding, shipping, 3PL, or logistics operations/customer service preferred. Fresh graduates with relevant diplomas are welcome to apply.
  • Skills: High attention to detail, strong organizational abilities, and comfort with handling multiple communication tools and logistics management systems simultaneously.
  • Attributes: Self-motivated, adaptable, customer-centric, and capable of prioritizing tasks effectively in a fast-paced, deadline-driven environment.
