Job Description
Learning Program Coordination And Learner Experience
- Coordinate approved learning programs from scheduling through closure, including calendars, invitations, registration, participant lists, reminders, attendance, venue, equipment, materials, catering, and on-the-day support.
- Serve as the first point of contact for participants, trainers, vendors, and internal partners on operational matters, providing timely, accurate, and service-minded support.
- Monitor registration and attendance, manage participant changes and waiting lists, and escalate delivery risks or exceptions
- Use standard checklists, templates, and communication plans to deliver consistent learning experience across programs and locations.
- Maintain accurate, up-to-date training records in the Learning Ecosystem (LMS/TMS) and/or HR systems, including course setup, enrolment, completion, attendance, and evidence of learning.
- Coordinate with Business Units on training recording and submit required documentation to support Department of Skill Development (DSD) requirements and internal learning compliance processes.
- Maintain organized digital files, version control, participant documentation, and audit-ready records in line with company data-handling requirements.
- Coordinate vendor onboarding and registration documentation, purchase or payment-related inputs, and support documents in collaboration with relevant internal teams.
- Administer learning evaluations, collect feedback and completion data, and prepare accurate program dashboards or summary reports for L&D Specialists and stakeholders.
- Follow up with participants and managers, when required, to support measurement of learning application and program effectiveness.
- Identify recurring operational issues, propose practical process improvements, and contribute to standardization, automation, and simplification of L&D workflows.
- Track agreed service and program measures, highlight gaps, and follow through on corrective actions.
- Support internal trainers with research, content preparation, participant materials, activity design, digital learning assets, and learning-journey administration.
- Co-facilitate workshops, communities of practice, onboarding sessions, or selected in-house programs following appropriate preparation and quality review.
- Apply basic adult-learning and learner-engagement principles when preparing materials and supporting delivery.
- Build facilitation and learning-design capability through coaching, observation, practice, and feedback.
- Coordinate effectively with business functions, People & Planet colleagues, internal trainers, facilities, IT support, procurement, finance, and external learning vendors.
- Confirm roles, timelines, deliverables, and logistics with each stakeholder, and maintain clear status updates until activities are completed.
- Support vendor service monitoring by consolidating participant feedback, delivery observations, documentation status, and follow-up actions.
- Support L&D projects, campaigns, learning-culture activities, and other Talent or People & Planet initiatives as assigned.
- Share operational knowledge, update playbooks and templates, and contribute to a reliable central Talent knowledge repository.
